Planning an Office Move? Here's How to Avoid Downtime

22 February 2026 6 min read

Office relocations live or die on planning. Use our 8-week checklist to keep your team productive and your move on schedule.

An office move that's well-planned looks effortless. One that isn't can cost a business weeks of lost productivity. The difference comes down to preparation.

Eight weeks out: Appoint an internal move coordinator and book your removals partner. Audit furniture and equipment — what's coming, what's being replaced, what's being disposed of?

Six weeks out: Map your new floorplan. Number every desk, meeting room and storage area. Each item that's moving gets a label matching its new location, so unloading is fast and intuitive.

Four weeks out: Brief your IT team. Servers, switches, telephony and printers all need a sequenced shutdown and reconnection plan. We can supply anti-static crates and coordinate directly with your IT supplier.

Two weeks out: Communicate with staff, clients and suppliers. Confirm parking, lift access and out-of-hours building permissions at both sites. Order any new keys, fobs or access cards.

Move weekend: We typically pack out on Friday evening, transport overnight, and have your new office set up by Monday morning. Your team walks in to a fully working space — phones live, monitors plugged in, kettle on.
